Getting Started
ConviTutor is a comprehensive platform designed to bridge the gap between teachers, students, and parents by centralizing lesson content, progress tracking, communication, and payments in one place. It serves both individual private teachers and educational organizations like tutoring centers, music schools, and dance academies.
Click "Get Started Free" and fill out the registration form with your email, name, and password. After verifying your email, you'll go through a quick onboarding process to personalize your experience based on whether you're a student, teacher, parent, or organization owner.
ConviTutor supports several user types: • Students - Learners enrolled in courses who can view lessons, submit tasks, and track grades • Parents - Can monitor their children's progress, view lessons, and communicate with teachers • Independent Teachers - Solo teachers who manage their own students and schedule • Organization Teachers - Teachers who work within a tutoring academy or school • Organization Owners - Full administrators of educational organizations • Organization Secretaries - Admins with configurable permissions (no teaching)
ConviTutor offers a free 30-day trial with full access to all features — no credit card required. Students and parents are always free. After the trial, teachers choose between the Starter or Pro plan, and organizations subscribe to the Enterprise plan.
ConviTutor is a web application accessible from any modern browser on desktop, tablet, or mobile. Native iOS and Android apps are planned for future releases.
After registration, you'll see a simple 2-3 step process where you select your role (student, teacher, or parent), provide relevant details, and optionally configure your profile. The whole process takes less than 2 minutes.
Account & Billing
All teachers and organizations get a free 30-day trial with full access to all features. No credit card is required to start.
We use Stripe for secure payment processing. You can pay with major credit cards (Visa, Mastercard, American Express) and debit cards. Teachers can also accept cash payments from students and record them manually in the system.
We offer three plans for teachers and organizations: • Starter: $19/month ($190/year) — Essential tools for getting started • Pro: $29/month ($290/year) — Full platform with AI-powered features including session notes, whiteboard, music notation, and quiz generation • Enterprise: $99/month ($990/year) — Complete solution for organizations and schools, includes up to 50 teacher seats AI features, video call minutes, and storage limits scale with your plan tier. All plans include a free 30-day trial. Students and parents are always free.
Go to Settings → Billing to manage your subscription. You can upgrade, downgrade, or cancel at any time. If you cancel, you'll retain access until the end of your current billing period.
A $1.00 Payment Protection fee is applied to each card payment made to a teacher who has connected their Stripe account for payouts. This fee helps cover dispute resolution, fraud prevention, and secure payment processing. The fee is clearly shown during checkout and is not charged on cash payments or payments to teachers without a connected payout account.
Teachers can issue full or partial refunds directly from their payment history. If you're a student and believe a refund is warranted, you can open a dispute on the payment. The teacher has 7 days to respond — they can accept (triggering an automatic refund) or reject (escalating to platform support). If the teacher doesn't respond within 7 days, the dispute is automatically escalated to an admin for resolution.
Go to Settings → Payouts to connect your bank account via Stripe Connect. Click "Start Setup" to begin the onboarding process — you'll be redirected to Stripe to verify your identity and link your bank account. Once complete, your status will show as "Connected" with payouts and charges enabled. You can access the Stripe Express Dashboard at any time to view your payout schedule, update your bank details, or review transaction history. If your setup is interrupted, return to Settings → Payouts and click "Complete Setup" to resume where you left off.
Teachers can view all received payments, revenue by course, and outstanding balances in the Payments section from the main navigation. You can also export your payment data. Students can view their billing details by opening a course and navigating to the Billing tab. There you'll find your balance overview, upcoming invoices, payment history with downloadable receipts, and the ability to open disputes if needed. For subscription billing (your ConviTutor plan), go to Settings → Billing to view invoices and update payment methods via the Stripe Customer Portal.
For Teachers
Go to "My Students" and click "Add Course." Enter the subject name, select or invite a student by email, and optionally set up grade categories with weights. You can create multiple courses with the same student for different subjects.
ConviTutor uses a weighted grading system: 1. Create categories (e.g., Technique 40%, Theory 20%, Repertoire 40%) 2. Assign tasks to categories 3. Grade tasks on any scale (e.g., 0-100) 4. The system automatically calculates category averages and a global weighted grade
Set your availability in Settings → Teacher Profile. Then go to Schedule to create lessons by selecting a course, date, time, and duration. You can create recurring lessons (weekly, biweekly, monthly) that automatically generate future sessions.
Set up a payment plan when creating a course (per-lesson, weekly, monthly, or quarterly). Students can pay via Stripe, or you can record cash/check payments manually. View all payment history in the Payments section. To receive card payments directly to your bank account, set up Stripe Connect in Settings → Payouts. Once connected, payments from students are automatically routed to your linked bank account.
Enable consultations in Settings → Teacher Profile. Prospective students can book free consultations through your public profile. You'll receive requests that you can confirm, decline, or reschedule. After a successful consultation, you can convert them to a full course.
Yes! Go to Lesson Templates to create reusable templates with pre-filled content, YouTube videos, tags, and files. When creating a new lesson, simply select a template to auto-populate the fields.
When creating or editing a lesson, use the file upload area to drag-and-drop or browse for files. Supported formats include PDF, DOCX, images (JPG, PNG), and audio files (MP3, WAV). Maximum file size is 500MB, with 10GB total storage for teachers.
Students or parents who have paid for lessons can leave public reviews on your profile. You can respond to reviews and flag inappropriate content for moderation. Your average rating is displayed on your public profile in the discovery marketplace.
For Students & Parents
Use the "Find a Teacher" search to browse public teacher profiles. Filter by subject, location, price range, availability, and age group specialty. Click on any profile to see their bio, reviews, and book a free consultation.
Go to "My Courses" and select a course. You'll see your global grade, category breakdowns, and individual task grades. The grade dashboard shows your progress over time with charts and trends.
Parents linked to student accounts can view all course content, lessons, grades, and study logs. Go to "Family" to see your children's progress summaries. You can also communicate directly with teachers through the messaging system.
Open the task from your course page, add notes or attach files, and click "Submit." You can edit your submission until the teacher grades it. After grading, you'll see your score and teacher feedback.
Find a teacher through the discovery search, visit their public profile, and click "Book a Free Consultation." Select an available time slot, enter your contact information and message, then submit your request. The teacher will confirm or suggest an alternative time.
Go to your course and use the Study Log feature to record practice sessions. You can use a built-in timer or manually enter time and notes. Set weekly goals to receive reminders if you're falling behind.
Open your course and go to the Billing tab. You'll see your current balance and any outstanding invoices. Click "Pay Now" on an invoice to complete payment securely via Stripe. After payment, you can download a receipt from your payment history. If you believe a charge is incorrect, you can open a dispute from the payment history. Your teacher will have 7 days to accept or reject the dispute. If they don't respond, it's automatically escalated to platform support.
For Organizations
During onboarding, select "I'm a teacher" → "Create an organization." Fill in your organization details (name, description, logo) and you'll become the Organization Owner with full admin access.
Organizations have four roles: • Organization Owner - Full control over settings, members, and can also teach • Organization Secretary - Admin with configurable permissions (cannot teach) • Organization Teacher - Teachers who work within the organization • Students - Learners enrolled in organization courses
Go to Organization → Admin Dashboard → Members and click "Invite Teacher." Enter their email address to send an invitation. Teachers must accept the invite and use the invite code to join your organization.
Organization visibility settings cascade to all affiliated teachers. If you set your organization to "Private," all your teachers' profiles will also be private. Individual teachers cannot override these settings while part of your organization.
Organization secretaries can be granted any combination of: • Manage Teachers (add/remove) • Manage Students (add/remove) • View Payments (see payment history) • Manage Schedule (modify lessons) • View Reports (access analytics)
Yes! Organization Owners and Secretaries with schedule permissions can view an organization-wide calendar showing all teachers' lessons. Use the teacher filter dropdown to view specific teachers or all at once.
Technical & Security
Yes. We use industry-standard security practices including: • HTTPS encryption for all data in transit • Secure password hashing • JWT authentication with short-lived tokens • Regular security audits • GDPR-compliant data handling

ConviTutor automatically detects your timezone during registration. All times are displayed in your local timezone. Teachers and students in different timezones will each see lesson times converted to their local time.
Yes! ConviTutor is fully responsive and works on any mobile browser. Simply visit convitutor.com from your phone or tablet. Native mobile apps are planned for a future release.
Storage limits depend on your subscription plan: • Students: 2GB total (for submissions) • Teachers: Storage varies by plan tier (Starter, Pro, or Enterprise) — check your current allocation in Settings → Billing • Organizations: Pooled storage based on plan tier, shared across all organization members You can monitor your storage usage in Settings. Upgrading your plan increases your storage allocation.
Yes, you can export your data at any time. Go to Settings → Account to download your lessons, student records, grades, and other data in CSV format.
